Inclusive Meetings

Use these techniques to make sure everyone contributes during meetings. These simple practices ensure all voices are heard, especially from quieter team members.

Mix these techniques depending on the meeting type. Silent starts work well for brainstorming. Round robins are good for check-ins. Be mindful of dominant voices and create space for quieter ones. The goal is genuine contribution, not forced participation. It's not always easy to get the balance right.
Try these techniques individually or combine them:

  1. Silent Start (2 minutes): Begin with 2 minutes of silent brainstorming. Everyone writes down their thoughts before discussing them.

  2. Round Robin (variable): Go around the group. Everyone shares one thought. Participants can pass, but they still have the opportunity to speak without interruptions.

  3. 1-2-4-All (12 minutes): Start with individual thinking, then pair up, form groups of four, and finally share with everyone. This builds ideas progressively.

  4. Parking Lot: Capture tangent topics for later discussion. This keeps the meeting focused while still honoring all input.

  5. Equal Air Time: Track who speaks during the meeting. Intentionally invite quieter participants to share, and gently limit verbose participants. This is tricky and requires emotional intelligence.
