A minute-by-minute run sheet for a meeting, scripted and shared before it happens.
What it is
Call Sheet and Be Early cover logistics — participants, venue, technical staff, equipment checks. Agenda, Roles and Rules gets agreed at the outset, then Time Slots, in minimum 15 and ideally 30-minute blocks, carry the session forward with Strategic Vision work and genuine 30-minute Coffee Breaks built in, closing with a Wrap-up that checks objectives were actually covered.
Reach for it when
- A workshop that overruns because nobody scripted the transitions between activities
- A facilitator whose plan exists only in their head, unshareable with co-facilitators or stakeholders
- A session that skips breaks and loses the room by the last hour
Running it
- Before starting, think hard about the meeting's actual objectives and design the screenplay around them.
- Build the Call Sheet and arrive early to verify equipment, refreshments, WiFi and projectors.
- Schedule Time Slots in minimum 15-minute, ideally 30-minute blocks, with genuine 30-minute Coffee Breaks built in, not squeezed out.
- After the workshop, document results with photos and templates and share them with participants promptly.
Watch out: A screenplay sketched loosely in someone's head instead of written down and shared stops being useful the moment co-facilitators or stakeholders need to see the plan.
